A PDF can preserve page size, spacing, fonts, images, headers, footers and other layout elements more consistently than an editable document format.
Before sharing the PDF
- Check every page for unexpected line breaks.
- Verify images and tables are visible.
- Check page numbers and headers.
- Confirm the correct document version.
- Open the PDF on another device when the document is important.
PDF is not always the best source format
If recipients need to revise the document frequently, keep the original DOCX as the editable master and use PDF as the sharing or publishing copy.
